What Is Document AX: Transforming Document-Driven Work So AI Performs It, A Complete Guide
KDLPublished
Document AX is a transformation that applies AX to the work of receiving, reading, judging, and registering documents, so that AI carries out the whole process from start to finish, instead of people stitching the steps together.
Why Document AX became necessary
Documents have been digitized, but people still read them.
Much of the work in finance, insurance, and the public sector still starts with documents. Applications and supporting documents arrive as faxes or scanned files, and staff open them, locate the required values, and enter them into the system. Storing the files in a document management system does not by itself reduce this work.
Even after document recognition technology was introduced, the situation was not much different. Checking recognition results, cross-referencing documents, judging conditions, and registering the outcome remained with people. Document AX targets the whole document-based work and is designed so that AI takes over these stages as well.
Document work often has fixed forms and processing standards written down. That makes it a good area for an organization to start AX. Because volume can be counted case by case, it is also easy to compare before and after the transition.
The precise definition of Document AX: how it differs from document digitization
Three axes that separate document digitization and Document AX
First, the scope differs. Document digitization stops at scanning paper documents into files that can be stored and searched. Document AX reads and structures the contents of those files and connects them to business judgments and system registration.
Second, the output differs. The output of digitization is image or PDF files. The output of Document AX is the values entered into the business system, the judgment results, and a record of the evidence behind them.
Third, the role of people differs. After digitization, staff still open files, read them, and copy values across. In Document AX, AI completes the normal cases, and staff take charge of reviewing exception cases and managing the standards.
Digitization is the starting point of Document AX. Scanned files and document management systems already accumulated become material AI can read, so they are assets to use as they are, not things to replace.
Five stages that make up Document AX
Five stages that connect document work end to end
First, reading. This stage recognizes documents that mix printed text, handwriting, tables, stamps, and checkboxes. Faxes, low-resolution scans, and skewed documents are also in scope.
Second, structuring. This stage restores headings, sections, tables, and document hierarchy and converts them into data AI can use. Tables must be converted while keeping the row and column relationships, so values are not lost in later stages.
Third, extraction. This stage finds the items the work needs, such as business registration numbers or representative names, and organizes them as item-value pairs.
Fourth, judgment. This stage checks, according to business rules, whether information matches across documents, whether all required documents are present, and whether conditions are met. For example, if the same business registration number is written differently on the application and the business registration certificate, this stage filters it out.
Fifth, execution. This stage registers the judged results in the document management system, automation tools, and core business systems, and leaves a processing record. If this stage is missing, staff re-enter the results on another screen.
You do not have to change all five stages at once. If you already have recognition tools, start with the judgment and execution stages. If the work involves forms that change often, first improve the structuring and extraction standards. Set the order to fit the current state.
How to apply Document AX in practice
Start with the work where the most documents accumulate
Begin by organizing which forms come in and in what volume for each department, and how many kinds of documents one case requires. The more document types there are and the more cross-checking is repeated, the greater the effect of transition. At this stage, also check whether multiple documents arrive merged into one file and whether the page order gets mixed up.
In a case from the financial sector, the team first listed the document groups they held, then picked the documents with high volume and stable forms as evaluation targets, and then checked classification and extraction performance in that order.
Check whether the work actually finished, not just the recognition rate
Even if character recognition accuracy is high, the transition is only half done if staff re-enter data at the registration stage. The results of Document AX are measured by the share of received cases completed within the flow through system registration, and by processing time per case.
The classification and extraction performance checked during adoption validation are metrics for the front part of the flow. Even when those values meet the target, the share of cases completed through registration must be measured separately to understand how far the transition has come.
Design the exception path first
Decide up front which screen will show documents that are hard to read, cases where information across documents does not match, and cases that rules cannot judge, and who will check what.
Once the exception path is set, the remaining normal cases can be passed through automatically with confidence. Errors confirmed in exception cases should be fed back as grounds for revising the extraction standards and judgment rules.
Document AX in the Korean context
Korean business documents arrive as a mix of Hangul word processor files, government forms, and fax copies, and often include stamps and handwriting. Tools built on overseas documents may perform differently under these conditions, so validate them on your own documents first.
In finance and the public sector, original documents often cannot be sent outside the organization. Prepare a configuration that can be installed internally, along with personal data de-identification procedures.
Frequently asked questions
Are Document AX and document automation the same thing?
Document automation often refers to a functional unit in which AI takes over document work. Document AX refers to the organizational transition in which that capability also changes the work flow, the roles of people, and the performance metrics.
If we already use OCR, what should we do first?
Start by listing the work people do after recognition. Among checking, judging, and entering, the stage that takes the most time is the next target for transition.
Are handwriting and fax documents included?
Yes. However, performance varies with the condition of the document, so validate with actual incoming documents before deciding the scope.
Will the document management system still be used?
Yes. It becomes the place that stores the originals and processing results, and AI-produced results pass through it on the way to the business systems.
If a result is wrong, who is responsible?
Design the structure so that staff hold final approval. If each value keeps its position in the source document and the grounds for judgment, review and after-the-fact checks are possible.
How long does the transition take?
It depends on the document types and the number of systems to connect. Starting with validation of one business process makes the schedule and scope realistic.
Which industries see the largest effect?
The effect is large in finance, insurance, and the public sector, where applications and supporting documents flow in volume. Work with many repeated forms, such as inspection certificates in manufacturing, is also a good target.
